That was the topic of conversation in the latest episode of the <a href=\"https:\/\/www.airmeet.com\/e\/6ab0e850-0014-11f0-8979-03ad2af13965\" rel=\"noopener\">Tech and Impact webinar series<\/a>, hosted by Kelly Cristaldi, featuring <a href=\"https:\/\/rooted.software\/\" rel=\"noopener\">Toby Weiss, CEO and co-founder of Rooted Software.<\/a><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Together, they unpacked the unglamorous but mission-critical topic of data hygiene, revealing how clean, connected, and actionable data can unlock greater volunteer engagement, better reporting, and significant time savings for nonprofit teams.<\/p>\n\n\n\n<h2 id=\"h-the-underrated-power-of-clean-data\" class=\"wp-block-heading\">The Underrated Power of Clean Data<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Right out of the gate, Toby Weiss cut to the chase: \u201cIf the data is clean, then it\u2019s truth. Then you can trust it, rely on it, and make decisions upon it.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For volunteer organizers, that means being able to confidently pull a list of volunteers with culinary skills available on Saturday\u2014or knowing who\u2019s dropped off the radar and may need re-engagement. Without clean data, you\u2019re flying blind.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Kelly added a relatable anecdote from her own nonprofit days: \u201cWe just had spreadsheets, and it was a scramble\u2026 of who\u2019s available, who could help us with this shift.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The result? Missed opportunities, extra manual work, and added stress.<\/p>\n\n\n\n<h2 id=\"h-the-real-cost-of-dirty-data\" class=\"wp-block-heading\">The Real Cost of Dirty Data<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Toby highlighted some of the most common data problems facing nonprofits:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: bold;\">Duplicates<\/span>: Multiple records for the same person (especially when they use different emails).<\/li>\n\n\n\n<li><span style=\"font-weight: bold;\">Outdated contact info<\/span>: \u201cPeople\u2019s availability and contact info change. If you\u2019re not updating that, you\u2019re working off old assumptions.\u201d<\/li>\n\n\n\n<li><span style=\"font-weight: bold;\">Incomplete records<\/span>: Missing skill tags or history of service makes it impossible to match volunteers with the right opportunities.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIt\u2019s a waste of time to work from incomplete or inaccurate information,\u201d Toby emphasized. \u201cEven the best system in the world won\u2019t help you if the data inside it isn\u2019t clean.\u201d<\/p>\n\n\n\n<h2 id=\"h-who-owns-the-data\" class=\"wp-block-heading\">Who Owns the Data?<\/h2>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/goldenvolunteer.com\/wp-content\/uploads\/2025\/05\/pexels-artempodrez-5716032.jpg\" alt=\"pexels-artempodrez-5716032\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A critical point raised during the webinar was ownership. Toby encouraged every organization to assign a Data Quality Owner\u2014someone who\u2019s responsible for keeping data clean and usable.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cIt doesn&#8217;t always have to be a full-time DBA,\u201d he noted, \u201cbut it does have to be someone. Otherwise, nothing will change.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Kelly chimed in: \u201cThat\u2019s great feedback. I had the same question\u2014who\u2019s managing the volunteer data side of the house?\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ownership is the first step toward accountability and sustainable processes.<\/p>\n\n\n\n<h2 id=\"h-integrations-the-hidden-hero-of-impact\" class=\"wp-block-heading\">Integrations: The Hidden Hero of Impact<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">One of the most actionable takeaways was the emphasis on <a href=\"\/how-software-integrations-act-as-your-silent-assistant\">system integrations<\/a>. Whether it\u2019s your CRM, volunteer management system, email platform, or fundraising tool, these systems need to talk to each other.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cData silos are one of the biggest causes of wasted time,\u201d Toby warned. \u201cIf your systems don\u2019t integrate, you\u2019re updating the same info in three different places.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Toby\u2019s pro tip: \u201cIf you&#8217;re using a platform like Golden, check the integrations page. Action means you can actually do something with it,\u201d Toby explained.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">He provided examples of how useful data can help answer key questions:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Who are our most active volunteers this quarter?<\/li>\n\n\n\n<li>Who used to be engaged but isn\u2019t anymore?<\/li>\n\n\n\n<li>What skills are we lacking for this upcoming event?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cSometimes,\u201d Toby said, \u201cyou might even change the structure of an event based on what your data is telling you.\u201d<\/p>\n\n\n\n<h2 id=\"h-start-small-one-improvement-at-a-time\" class=\"wp-block-heading\">Start Small: One Improvement at a Time<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Toby\u2019s advice for those feeling overwhelmed by messy data? \u201cStart with one improvement this month.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Whether that\u2019s removing duplicates, updating key records, or implementing a new integration, the important part is to begin. \u201cYou do that every month, and by the end of the year, you\u2019ve made 12 significant improvements.\u201d<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Kelly echoed that sentiment with a personal mantra: \u201cIn our household, we say, \u2018just 1% better every day.\u2019 It really adds up.\u201d<\/p>\n\n\n\n<h2 id=\"h-mapping-your-tech-stack\" class=\"wp-block-heading\">Mapping Your Tech Stack<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">To bring it all together, Toby encouraged nonprofits to literally draw a map of their systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cWhich systems are you using? Which ones are connected? Are they integrated fully, partially, or not at all?\u201d From there, organizations can prioritize improvements and identify where they need help.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It\u2019s this kind of proactive mapping that leads to not only better data, but better decisions.<\/p>\n\n\n\n<h2 id=\"h-final-thoughts-data-as-a-catalyst-for-impact\" class=\"wp-block-heading\">Final Thoughts: Data as a Catalyst for Impact<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At the heart of this conversation was a simple truth: clean, connected, and well-maintained data is the foundation for a high-functioning volunteer program.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u201cYou want your volunteering to be successful?
